The Great Shoebox Escape: Why It’s Time to Break Up with Your Receipts
By Malgorzata McManus, McM Acccounting
There are few things that strike fear into an accountant’s heart quite like the words: “I’ve brought you my receipts.”
Because you never quite know what comes next.
A neatly organised folder? Wonderful.
A labelled envelope? Perfect.
A carrier bag containing 347 crumpled pieces of paper, three takeaway menus and a parking ticket from 2023? Now we’re talking!
As accountants, we have seen it all. Receipts stuffed into handbags, coat pockets, desk drawers and car glove compartments. Some are folded so many times they resemble origami. Others have faded so badly that identifying the purchase requires something approaching forensic investigation.
We need to talk about this.
For generations, keeping business records meant keeping paper. Lots of paper.
Business owners would collect receipts throughout the year and then, usually at the last possible moment, attempt to make sense of them before sending everything to their accountant.
Unfortunately, paper has a habit of causing problems.
It gets lost. It gets damaged. It fades. It goes through the washing machine. And somehow, despite being kept “somewhere safe”, nobody can remember where that safe place is.
What the Shoebox Is Actually Costing You?
Missed deductions. Every faded, lost, or “I’ll deal with it later” receipt is potentially money you can’t claim back. Thermal paper receipts fade fast — sometimes within months — so by the time you go looking, the evidence has literally vanished.
Panic-induced errors. Nothing good happens when you’re trying to categorise 200 receipts at 11pm the night before a deadline. Mistakes creep in. Things get miscategorised or missed entirely.
Your accountant’s sanity (yes, we’re allowed to say this). When bookkeeping is done in one manic burst instead of steadily throughout the year, it’s harder to spot outliers, catch errors, or give you useful advice — because we’re too busy playing detective with your till roll archaeology.
The bigger picture, blurred. A shoebox tells you nothing about how your business is doing right now. Is that supplier getting more expensive? Are you spending more on fuel than last quarter? You can’t answer any of that from a box. You can only answer it in April, in hindsight, which is a bit like checking the weather forecast for yesterday.
The Good News: This Is a Very Solvable Problem. Here’s the bit where we stop teasing and help.
1. Snap it, don’t stash it. The second you get a receipt, photograph it. Most decent bookkeeping apps (and your bank, increasingly) let you snap and log a receipt in under ten seconds. That’s less time than it takes to find a pen to write on it.
2. Little and often beats one big binge. Ten minutes a week logging expenses will save you ten hours in January. It’s not glamorous, but neither is doing your VAT return by candlelight the night before it’s due.
3. Let software do the boring bit. Cloud accounting tools can auto-categorise expenses, match receipts to bank transactions, and basically do the filing for you. This isn’t just convenient — with Making Tax Digital rolling out for more self-employed people and small businesses, digital record-keeping is quickly becoming the expectation rather than the nice to-have.
4. One home for everything. Whether it’s a dedicated app, a shared drive folder, or a simple weekly routine — the goal is one consistent system, not seventeen half-used ones (we see you, Notes app screenshot folder).
5. Ask for help before the shoebox forms, not after. This is the big one. We’d genuinely rather help you set up a five-minute weekly habit in June than dig through a shoebox with you in January. It’s better for your numbers, your stress levels, and honestly, our will to live.
The Moral of the Story.
Less paper. Less clutter. Less stress. Better bookkeeping.
And if we can save business owners from spending their Sunday evening trying to identify a receipt for £6.75 from two years ago, I’d say that’s progress.
